FIM Receptionist and Calendar Coordinator
About the Opportunity
Under the direction of the VP of Finance and Administration, the FIM Receptionist and Calendar Coordinator is responsible for answering calls and routing them to the correct department. The individual will also work with the Flint Cultural Center Campus marketing point of contacts to ensure campus happenings are reflected on internal (Trumba) and external calendars throughout the community.
Specific Responsibilities and Qualifications
- Manage incoming calls on a multi-line board and transfer as needed.
- Manage a Community Calendar System for the Flint Cultural Center campus and other Flint Community partners.
- Work with FCCC IT department to develop and maintain protocols around the calendar content and access.
- Populate other Genesee County and regional cultural and events calendars with events from the Flint Cultural Center campus partners.
- Develop various views of the calendar system for Flint Cultural Center campus partners.
- Develop relationships and recruit organizations to join the Community Calendar and champion its importance to the community.
- Provide calendar technical assistance when necessary to campus partners.
- Ensure accuracy of data provided and the input of said data.
- Coordinate with all calendar partners to promote the use of the Community Calendar.
- Additional duties, as assigned.
Qualifications
- A minimum of one year of secretarial, office, or related experience is required. Previous work experience with non-profits and/ or the performing arts is beneficial.
- High School Diploma required or equivalent is required with a Bachelor’s of Business Administration preferred.
- Strong organizational and time-management skills, including ability to handle multiple tasks simultaneously
- Facility with written communication, including preparation of minutes and short documents
- Experience with managing/coordinating the use of a multi layered calendar system.
- Strong interpersonal skills and ease with both telephone and in-person contacts
- Proficiency in MS Office Suite – Excel, Word – advanced skill set
- Knowledge of calendar systems such as “Trumba”, a plus
Compensation and Benefits
- Starting Rate: $15/hour
- Part – Time hours up to 30 per week
