FSPA Administrative Support Specialist

About the Opportunity

The FSPA Administrative Support Specialist provide front-office communication with students, families, faculty, staff and the community through in-person, phone, email and other methods

Responsibilities

  • Provide front-office communication with students, families, faculty, staff and the community through in-person, phone, email and other methods
  • Take responsibility for individual projects and assignments, which could include:

    • Creating event programs and promotional flyers
    • Gathering information and working with others in the development of summer and school-year catalogs and monthly newsletters
    • Preparing for student ensemble trips or visits from other ensembles
    • Assisting in planning and coordination for auditions, concerts, fundraising, student recognition and other special events
    • Implementing information collected for lesson requests, class registration, music and dance ensembles
    • Assisting with payroll and scholarships

  • Organize and format data collected for reports
  • Process student account payments, online deposits and make trips to the bank as needed
  • Become proficient in the software programs used for student accounts
  • Attend and participate in meetings and work with other departments as required
  • Maintain confidentiality and discretion regarding sensitive information
  • Assist with a wide range of administrative and office support activities
  • Other responsibilities as required

Qualifications

  • Able to work well with diverse populations and age groups of students, faculty, staff and administration while providing exceptional customer service
  • Possess strong interpersonal communication skills, as well as strong oral and written communication skills
  • Display a self-motivated and positive attitude
  • Able to be flexible and adaptive to work on unexpected or last minute projects.
  • Demonstrate good organizational, spelling and proofreading skills; be detail oriented, adaptable, flexible and able to work well in a busy office
  • Demonstrate the ability to maintain and be responsible with confidential and sensitive information
  • Work proficiently in Microsoft Office and other current office software and technology
  • High School diploma required
  • Two years of administrative support experience in an office setting, including customer service
  • Knowledge or background in music, dance or theatre is helpful, but not required

Compensation and Benefit Information:

  • Full time Benefit Eligible Position 35+ hours per week
